History of organizations that have had access to the athlete's profile

🔒 What You Need to Know

You can now see which organizations previously had access to an athlete’s profile using the Past Access section under the Security tab in the Athlete Profile.

This feature helps you track access history and acts as an audit log for transparency and accountability.

 

🕒 Important Note About Historical Data

The Past Access feature only tracks changes from the date this feature was released in the ADAMS 7.57.1 version as of March 12, 2025.

Any access or changes made before this release are not displayed in this section.

 

📍 Where to Find It

Go to the Athlete Profile > Security Tab, then scroll to Past Access.

Anyone with access to the Security tab can view this information.

 

🧾 What You’ll See

For each organization that used to have access to the athlete’s profile, you’ll see:

  • Organization Name (click to view access history details)

  • Short Name

  • Full Address: Street, City, Postal Code, Region, Country

  • Website

  • Contact Info: Email, Phone, Fax

Clicking on "details" will show more details about when and why they lost access.

🚫 Why Organizations Lose Access

Organizations may lose access to an athlete’s profile for several reasons. The system tracks and lists them here under Past Access when:

1. 🧑‍🤝‍🧑 Athlete Information Changes

  • If the athlete's Nationality or Sport Nationality changes, the relevant National Anti-Doping Organization (NADO) loses access.

2. 🏅 Sport/Discipline Changes

  • Changes in Sport or Discipline will remove access for the associated International Federation (IF) or National Federation (NF).

3. 🏟️ Major Games End

  • Access is removed when:

    • The Major Game’s Accessibility Period ends.

    • The athlete is removed from the selection list.

4. ⚙️ Administrative Actions

Admins can remove access manually by:

  • Moving custodianship or passport custody

  • Explicitly denying access

  • Clearing access rules

5. 📃 Changes in DTP Contracts

If an athlete’s profile was shared via a Delegated Third Party (DTP) contract, access is lost when:

  • The source organization or ADAMS account is inactive

  • The contract ends or is deleted

  • The User Group is removed from the contract

6. 🔗 Organization Relationships End

If an athlete is shared via a relationship between organizations, access is removed when:

  • The relationship is modified, ends, or is deleted

  • The User Group is removed from the relationship

7. 👥 Removal from User Groups

If the athlete is removed from a User Group, access is removed for linked organizations when the group is connected to:

  • A DTP Contract

  • An ADO Relationship

These changes are tracked and appear in the Past Access section after the system runs the Athlete Security Job.

This feature is designed to give you full visibility into who had access to an athlete’s profile and why that access was removed—helping you ensure data security and manage compliance.
